ABOUT THE OPPORTUNITY

 

The Office Manager position is a hybrid role that blends elements of office management with traditional administrative functions. Successful candidates can manage both big and small projects, create an inviting and productive culture, and can facilitate organizational effectiveness and efficiency by coordinating office operations, resources and procedures throughout our Detroit office. Develop Detroit is a start-up environment, so strong candidates will have demonstrated ability to operate in very fluid, fast-moving and lean organizations and a willingness to grow into new challenges and roles. This position reports to the Chief Executive Officer of Develop Detroit.

 

MAJOR DUTIES AND RESPONSIBILITIES:

 

OFFICE MANAGEMENT:

  • Provide management support to senior leadership, including the CEO and VP – Real Estate
  • Organize and coordinate office operations, procedures and resources to facilitate organizational effectiveness and efficiency, conducive to enhancing employee productivity
  • Establish internal company document organizational system; ensure compliance with company document and retention policy
  • Maintain a safe and secure working environment
  • Coordinate IT, internet and printing services across various service providers
  • Research new vendors to ensure that Develop is receiving the best service and prices for the products and services; manage and foster vendor relationships, including the ongoing management of vendor contracts and payables
  • Manage all insurance filings, state registrations, renewals and audits for Develop Detroit
  • Oversee and manage office buildouts, renovations and upkeep
  • Place furniture and IT equipment orders as needed
  • Oversee office supply orders; ensure that necessary supplies are always available
  • Manage office maintenance, including cleaning crew, office supplies, mail, etc.
  • Be a key part of creating a great working environment and a high achieving organization

ADMINISTRATIVE:

  • Provide support to senior leadership, including the CEO and VP – Real Estate; make travel arrangements and manage the calendars and email of senior leadership
  • Coordinate staff meeting agendas with CEO and maintain corporate calendar as directed
  • Manage governance of certain companies including but not limited to scheduling board meetings, preparing packets, taking and disseminating minutes
  • Compose communications, memorandums, and presentation materials from verbal direction
  • Create, maintain and update documents and forms as needed; print letters and obtain appropriate signatures
  • Assist with logistics planning and material creation/assembly for community meetings as well as other annual and ad-hoc meetings
  • Set up workspace for new hires and assist with onboarding tasks as assigned
  • Oversee planning of staff parties and events
  • Other projects as assigned

 

QUALIFICATIONS:

  • BA/BS or equivalent years of experience + education required
  • Strong time management and superior attention to detail and accuracy; demonstrated ability to balance, prioritize and complete multiple urgent tasks independently
  • Excellent written and verbal communication skills and effective listening skills required
  • Excellent people skills, pleasant demeanor and client orientation; ability to work collaboratively with others in a fast-paced open office environment
  • Highly productive with good organizational skills, ability to work accurately while meeting deadlines, comfortable multitasking and taking direction from multiple people
  • High-level computer competency, especially with MS Outlook and MS Word, is required; strongly prefer a demonstrated proficiency with Mac OS and other Apple products.
  • Interest in and ability to learn new technology easily
  • Self-directed and able to independently solve problems
  • Trustworthy, reliable and able to deal appropriately with confidential information
